A 5-step onboarding wizard takes about 10 minutes on the Solo plan — company details, first user, time zone & currency, default tax rate, then create your first customer or import a list. Essentials and above add team-member invites + tier-specific toggles (booking portal, GST mode, marketing campaigns) that take a few extra minutes each.
Yes — CSV import with a column-mapping wizard. Common exports from QuickBooks Online, HouseCall Pro, ServiceTitan, and Jobber drop in directly. Customers, jobs, and invoices can be bulk-imported; line items follow the canonical math model.
No. The web app runs in any modern browser. The mobile PWA installs from the browser ("Add to Home Screen" on iOS Safari + Android Chrome) — no app-store account, no review delays. Optional Microsoft 365 add-in is available on Essentials+ for desktop calendar & email sync.
Full CSV export is always available. If you don't enter a payment method, your workspace switches to the Solo tier ($9/mo) — your data stays put; multi-user features are paused until you re-upgrade. Trial extensions are granted on request at DECISYN's discretion.
Yes on web. Drag a job between time slots, between technicians, or across days. On mobile, tap-and-hold to reschedule. All changes write to an audit log; the customer notification cadence respects your tenant's preferences (none / email / SMS / WhatsApp).
Yes — a lead tech plus any number of helpers, each with role (lead, helper, apprentice). Per-tech availability and skills are checked at assignment time; the system blocks double-booking and surfaces overlapping conflicts.
Growth tier and above. Cadences: daily, weekly, bi-weekly, monthly, quarterly, semi-annual, annual, or custom (every Nth weekday of month). Each instance carries its own job record + invoice; the contract template stays editable.
Yes — Scale tier. Uses Google Maps Directions API; minimizes total drive time across a technician's day given fixed time windows. You can override individual stops; the optimizer respects pinned positions.
Open app.servicesynchq.com in Safari (iOS) or Chrome (Android). The browser prompts "Add to Home Screen" — accept it. The app icon appears like a native app; it launches full-screen without the browser chrome.
Yes. Recent customers, jobs, invoices, and the day's schedule are cached locally (IndexedDB via Dexie). Outbound writes — job status updates, photos, notes — are queued and replayed when connectivity returns. A small sync-state indicator shows pending operations.
Yes — the sync path is chunked, retries with exponential backoff, and never blocks the UI on a network call. Photo uploads compress client-side before transit. Tested on rural-India 2G profiles for the field-tech workflow.
No. The queue is persisted to IndexedDB — it survives app close, phone restart, OS update. On next launch, the queued writes resume. Worst case: you lose photo uploads if local storage was wiped via OS-level "clear data" — explicit user action.
Yes — every workspace has a base currency. Invoices can be issued in a different currency; the FX rate is snapshotted at issue time so historical reports stay deterministic. Settlements route via Stripe (USD/EUR/GBP/AED + cards) or Razorpay (INR + UPI + Net-bank). Customer pays in the invoice currency.
Yes — every line item carries HSN/SAC (operator-entered, plain text). CGST/SGST split for intrastate, IGST for interstate is derived from customer state. GSTR-1 export produces a CSV that maps directly to the GST portal's bulk-upload schema. The tax system in effect at invoice issue is frozen on the document.
Partial and full refunds are issued through the original payment gateway (Stripe or Razorpay). A credit note is generated automatically and linked to the original invoice; the reversal carries an audit trail with who initiated, when, and the gateway's refund ID.
UAE 5% VAT is built in with FTA-compliant invoice templates (bilingual EN+AR). For the EU, the VAT rate is set per customer country code; reverse-charge for B2B intra-EU is handled. The invoice PDF includes the tenant's VAT registration number when configured.
Google Calendar, Microsoft 365 (calendar + email), Stripe, Razorpay, QuickBooks Online, Twilio SMS, WhatsApp Business (Meta Cloud API), SMTP (tenant's own), Webhooks (HMAC-signed), Zapier (via webhooks), REST API, Google Maps. Yes on Scale tier — configure your own Twilio account SID, WhatsApp Business token, SMTP host, OpenAI / Anthropic API keys in Settings. SyncHQ does not mark up usage — you pay the provider directly. Your Twilio credentials, WhatsApp tokens, and API keys are stored with bank-level encryption.
SyncHQ Pro emits outbound webhooks (cryptographically signed) for 10+ event classes — invoice.sent, payment.received, job.completed, etc. Zapier listens on these. You can also call the REST API directly from Zapier's "Webhooks by Zapier" action. Available on Growth tier and above.
Bi-directional via OAuth. Customers, invoices, and payments sync both ways; conflict resolution is "last write wins" with an audit log so you can see who changed what. The sync runs on a 15-minute cadence, with a manual "Sync now" button.
Data Insights — statistical analytics on your own data — run free on every plan: 9 on Solo and Essentials, 13 on Growth, 19 on Scale. These do not call external LLMs; they're rule-based predictions on your historical data. Smart Actions (proposals, photo estimation, NLP search, sentiment) require BYO API key on Growth+, with the LLM call going direct to your provider.
Settings → AI → choose provider (OpenAI or Anthropic) → paste your API key. The key is encrypted at rest, redacted from logs, and never leaves your workspace boundary. Usage is billed by the provider, not by SyncHQ — zero markup. You can revoke or rotate the key at any time.
Scale tier. Upload a photo of a job site (HVAC unit, plumbing leak, electrical panel, etc.). The AI returns a structured estimate: scope of work, materials list, labor hours, and a draft total. You review and edit before it becomes a customer-facing quote. Requires your BYO LLM key.
Plain-English queries like: "show me overdue invoices for the Sharma family", "jobs scheduled this week in Bangalore", "customers who haven't paid in 60 days", "average ticket size for HVAC service calls in May". The NLP layer translates intent to a structured query that respects tenant-scoping and your role's data access. Returns results inline; you can refine.
